The best AI tools are the ones you don't open

Wispr and Granola aren't winning because they're smarter than the alternatives. They're winning because they're already on when you need them.

Most AI tool evaluations miss the point. Teams compare model quality, feature depth, and pricing. They rarely compare the one thing that actually determines whether a tool gets used: how much friction sits between the user and a result.

Two tools in our current stack show what happens when that friction goes to zero. Neither is flashy. Both changed how we work more than any tool we've tested this year.

voice is faster than typing, if you let it be

Wispr Flow is a dictation tool. Hold a key, speak, release, and cleaned-up text appears wherever your cursor is. Slack, email, a Notion doc, a Claude window. It doesn't care. It's always on.

Typing is a bottleneck most knowledge workers have accepted as permanent. It isn't. The average person speaks at about 150 words per minute and types at about 40. The gap widens when the idea is still forming. Typing forces you to commit words in the exact order your fingers can produce them. Voice lets you think out loud and clean up after.

The win isn't that talking is faster. The win is that the capture tool keeps up with the pace of the thought. When it doesn't, ideas get shaved down to whatever the keyboard can handle.

ambient tools beat launchable tools

Granola is an AI meeting notes tool. It joins every call on your calendar, listens, and produces structured notes. We almost never open the app. It runs in the background, captures everything, and surfaces what matters when we come back to it later.

Compare that to most AI notetakers. Those require you to:

  • Remember the tool exists

  • Open it before the call starts

  • Paste a meeting link or invite a bot

  • Hope it's still running when the call ends

Granola skips all of it. No setup per meeting. No bot in the room. It just works.

Most of the AI tool market is still stuck on the first version of this pattern: build a powerful tool, put it in a new app, train people to go find it when they need it. That model worked when every tool saved hours on a task you only did once a week. It breaks for anything you do 30 times a day.

The AI tools that earn a permanent spot in everyday work share three traits:

  • Always on, not launched

  • Integrated into the tools people already use, not a new place to go

  • Low-overhead to capture, high-fidelity to review

Wispr and Granola hit all three for their specific tasks. The next group of winners will do the same for inbox triage, task capture, meeting prep, and pipeline updates. The work will happen. The tool will stay out of the way.

Teams still evaluating AI tools by model quality are optimizing the wrong variable. Model quality improves every quarter. A tool's friction is permanent unless the vendor rebuilds the experience from scratch.

what to do about it this week

  1. Audit your stack for friction. For each AI tool your team uses, ask: how many steps does it take to actually use it during real work? Any tool that needs more than a single action to start is losing adoption you can't measure.

  2. Replace typing with voice in at least one workflow. Install Wispr Flow or a similar tool and use it for a full week. Inbox replies, Slack messages, quick notes, prompt writing. You'll feel the gap within a day.

  3. Stop evaluating meeting tools by feature checklists. Evaluate them by whether anyone has to think about them. If someone on the team has to remember to start the tool, it's already lost.

  4. Apply the same test to everything else. Pipeline tracking. Customer feedback capture. CRM updates. The best version of each is a tool that runs in the background and produces the output without asking the user to do setup work.

  5. Cut the tools that ask too much. Every tool in your stack earns its spot by being used. If a tool requires a process to remember it exists, replace it with something ambient or drop it.
